Job Summary
Operates under minimal supervision and using independent judgment in completing job responsibilities. Coordinate with internal and external vendors for availability, pricing, purchasing and delivery of material and services for construction and maintenance projects. Verifies stock, resolves discrepancies, and process invoices for payments. Schedules and coordinates the delivery and storing of material and equipment. Schedules and assigns daily work for personnel to ensure project completion for internal and external customers. Provide project costs to corporate personnel and process journal entries for monthly budget transfers. Provides basic technical operational services and administrative duties.
Key Accountabilities
Provides a variety of services representing a combination of the following duties:
- Initiates and coordinates the purchase or returns of a variety of materials, tools, equipment and services. Investigates, analyzes and verifies stock discrepancies for inventory purposes. Contacts vendors, obtains quotes, verifies, resolves complaints and processes all invoices and stock requisitions for payment. Processes requisitions for payment. Processes monthly budget transfers.
- Schedules and coordinates the delivery of a variety of corporate materials to extend customers and facilities throughout the company. Coordinates receipt and storing of materials and equipment. Monitors consignment stock handling and other inventories. Coordinates with corporate Supply Chain to prevent shortages of critical stock items.
- Provides administrative support utilizing PC software to maintain a variety of corporate and departmental documents. Provides project costs to corporate personnel and external customers.
- Obtains and maintains personnel and departmental records by inputting and updating data utilizing HRMS, MMS, WMS, and Predator Systems.
- Administers, maintains and monitors labor and equipment contracts. Coordinates the rental and leasing of construction equipment.
- Dispatches and directs the work of field and other support personnel.
- Works with Area Leader to schedule projects for internal and external customers utilizing Microsoft Project and Splash systems.
Qualifications
Minimum Education and Experience Requirements
The typical formal education level required to do this job is high school or equivalent. The minimum prior job-related experience necessary to do this job is three years, but less than five years. To be fully proficient in this job, at least five years but less than seven years prior job-related experience is necessary.
Additional Qualifications
- Working knowledge of CRT/keyboard usage, data entry, filing, internal customer service, PC software applications (spreadsheets, graphics, databases), telephone skills, timekeeping/pay practices, and word processing/typing.
- Working knowledge of dispatching, inventory management, material handling/storage, purchasing, and shipping/receiving.
Working knowledge of accounts payable, payroll, and safety practices. - Demonstrated ability to lead work direction, oversee workflow, and support diversity initiatives.
- Experience supporting new program implementation through information sharing and guidance.
- Strong problem‑solving skills with the ability to research issues, analyze information, and recommend solutions.
- Ability to make sound independent decisions when guidelines are limited.
- Strong internal collaboration skills, including advising supervisors and negotiating with team members.
- Effective communication with external partners, community organizations, and vendors.
- Skilled in influencing, persuading, and facilitating interactions to achieve desired outcomes.
- Experience leading meetings, facilitating discussions, and delivering training or presentations.
- Strong written communication skills, including preparing reports, memos, and internal correspondence.
- Ability to plan and coordinate work for self and others while balancing multiple priorities in a fast‑paced environment.
- Experience providing input for budget planning and managing resource needs.
