Job Summary

  • Provides a variety of confidential staff support and administrative functions to a Business Unit and leadership team. Utilizes a variety of databases and systems to perform administrative responsibilities. Provides administrative support for a variety of projects and programs relevant to department needs. Works with other administrative assistants to provide administrative support as needed for Production leaders and staff.

Key Accountabilities

  • Monitors and updates production records; maintains files and procedures to align with company standards
  • Gathers and summarizes data to prepare reports for leadership
  • Provides general administrative work such as typing, filing and copying
  • Processes expense reimbursements for department leaders
  • Prepares Work Package Close Outs
  • Acts as Time Management Coordinator by updating and maintaining work schedules, enters and corrects time entry input, and administers overtime call outs
  • Acts as Fatigue Management System (FMS) Coordinator by ensuring new staff are properly input into the database, track work hours, and notifies leadership of FMS employee issues before limits are exceeded
  • Acts as BU Security Coordinator by monitoring notifications from security for random testing and notifies staff that have been selected in accordance with company policy, coordinates visitor access to the OCA/PA, and new hire and termination access authorization process
  • Actively supports Emergency Response Organization (ERO) and Outage duties
  • Participates in Continuous Improvement activities to improve administrative/clerical processes within the department and site.

Qualifications

  • High School diploma or GED equivalent with 1 year of administrative experience.
  • Administrative skills which include word processing, data entry, scheduling, and time reporting.
  • Experience working with a represented workforce canvassing for overtime and entering time.
  • Demonstrated proficiency in software applications including Microsoft Office (word, excel, and outlook,
  • Ability to communicate effectively, orally and written, within all levels of business unit personnel.
  • Demonstrated communication and organizational skills with the ability to follow work direction.
  • Must be able to pass all phases of In Processing including a background investigation, psychological screening, appropriate radiation worker/respiratory training and be medically certifiable drug and alcohol screen.
  • Must be able to maintain a position on the Fermi Emergency Response Organization (ERO) in support of the Radiological Emergency Response Plan (RERP).
